Troubleshooting Tips for Enabling Direct Mail in Outlook 2007

With direct mail, you can send personalized messages at once to a large group of people without knowing who else you sent them to. This is a great way to make bulk emails more personal, send everyone their own information (like username and password), or send Christmas cards.

There are many ways to merge emails, and there are several tools that you can use to easily move the process forward or add even more options. This tutorial provides an overview of these methods and shows you how to run your own direct mail.

While you can also send the mail merge to a document or directly to a printer, in our examples we use email as the output. The process for the other output parameters is very similar, and this tutorial can be used for that as well.

Merge Emails From Outlook


How do I do a mail merge in Outlook 365?

On the MAILS tab, click Start Mail Merge and, step by step, click Mail Merge Wizard. Select the type of document to which you want to add the mail merge and click Next. Here you can start a new document from a template or from an existing document. Since our document is already open, we select Use Current Document.


Starting a mail merge in Outlook is the easiest way when all the people you want to include are already in your Contacts folder in Outlook.



In this example direct mail we send An email to multiple contacts asking if their contact details are correct.

Merge Emails From Word With Outlook As Source

You can also start the mail merge from Word. The end result is the same as when launched in Outlook. The main difference is the dialogue in which you choose the correct contacts, but we'll come back to that later.

In this example, we re-send the email to multiple contacts, but skip writing the email as it is similar to the example above.

Merge Words And Merge Emails With Another Source

If you want to send personal emails through Outlook, but the information itself is not in Outlook, but in Excel, Access, SQL query, CSV file, etc., for example, you can also start merging emails in Word.

This process is similar to merging emails in Word with Outlook as the source. The extra step corresponds to the mail merge fields.

Merging Emails Using Third-party Tools


Where is the Mail Merge button in Outlook?

Go to Mailings> Results Preview to see how the emails will look. Use the left and right arrow keys on the Mailings tab to view each email. Select Preview Results again to add or remove merge fields. When you're done, go to Mailings> Complete & Merge> Merge in Email.
